Privacy Policy

This Privacy Policy explains how Ascend collects, uses, discloses, and protects personal information when you use the Ascend platform and related websites and services (the “Service”). Ascend is operated by Smart Global Technologies Inc., a company incorporated in Ontario, Canada (“SGT”, “we”, “us”), which acts as the data controller for the information described below. By using the Service you agree to the practices described in this Policy.

1. Information we collect

We collect information that is necessary to provide the Service to business customers and their authorized users.

Account information

Name, business name, work email, phone number, role, and login credentials for administrators and users you create within your workspace.

Billing information

Subscription plan, billing contact, and payment history. Card payments are processed by our payment processor, Stripe; we do not store full card numbers on our systems.

Usage information

Log data, device and browser information, IP address, feature usage, and diagnostic events, used to operate, secure, and improve the Service.

Customer content and connected integrations

Content that you and your users upload or generate in the Service, and data that flows through the integrations you choose to connect. These may include email accounts, telephony via SIP/VoIP, WhatsApp, and Zoom. When you connect an integration you authorize Ascend to send and receive the data required for that integration to function (for example, messages, call metadata, and recordings where applicable).

2. How we use information

We use personal information to:

  • Provide, maintain, and operate the Service and your workspace;
  • Provision and manage your tenant, users, and integrations;
  • Process subscriptions, billing, and payments;
  • Orchestrate AI agents and workflows on your behalf, as configured by you;
  • Provide support, communicate service and security notices, and respond to requests;
  • Monitor, secure, troubleshoot, and improve the Service;
  • Comply with legal obligations and enforce our agreements.

3. Tenant isolation and confidentiality

Ascend is a multi-tenant platform designed with strong isolation between customers. Each customer is provisioned with its own dedicated database, so your customer content and operational data are stored separately from other customers’ data. We treat your customer content as confidential: we do not sell it, and we do not use it to train third-party models. Our personnel access customer content only when necessary to operate the Service, provide support you request, or comply with law, and always under confidentiality obligations.

4. Subprocessors

We rely on a limited set of trusted subprocessors to deliver the Service. Each is bound by contractual obligations to protect personal information:

  • Stripe — payment processing;
  • Brevo — transactional and notification email delivery;
  • Google Cloud — hosting and infrastructure, in the Canada (Montréal) region;
  • Voice and telephony providers — to deliver SIP/VoIP calling features you enable.

We may update this list from time to time as the Service evolves; we will maintain equivalent protections with any subprocessor we engage.

5. Data retention

We retain personal information for as long as your account is active and as needed to provide the Service. When your subscription ends, we retain data for a limited period to allow reactivation and to meet legal, tax, and accounting obligations, after which it is deleted or anonymized. You may request earlier deletion as described below, subject to legal retention requirements.

6. Your rights

Depending on your jurisdiction, you may have the right to access, correct, update, or delete your personal information, to object to or restrict certain processing, and to request a copy of your data in a portable format. To exercise these rights, contact us at [email protected]. Where we process data on behalf of a business customer (as a service provider or processor), we will direct requests to that customer and assist them in responding.

7. International transfers

The Service is hosted in Canada (Montréal). Some subprocessors may process limited data in other countries. Where personal information is transferred across borders, we rely on appropriate safeguards and contractual protections consistent with applicable data protection law.

8. Security

We implement technical and organizational measures designed to protect personal information, including per-tenant database isolation, encryption in transit, access controls, and monitoring. No method of transmission or storage is completely secure, but we work continuously to protect your information and to promptly address any incident.

9. Cookies

Our websites and application use cookies and similar technologies that are necessary for authentication, security, and core functionality, and a limited set for analytics to understand and improve usage. You can control cookies through your browser settings; disabling essential cookies may affect the Service.
